8. Event Lead Ownership

Unless otherwise specified in a written agreement, attendee information collected during an event is collected on behalf of the client, sponsor, exhibitor, venue, or organization that engaged Spotlight Xperience.

Spotlight Xperience acts as a service provider processing attendee information according to the client’s instructions and applicable law.

We may retain limited records necessary to:

• Deliver contracted services

• Maintain transaction records

• Meet legal obligations

• Provide customer support

• Resolve disputes

• Improve operational performance

Spotlight Xperience will not use attendee information collected for a client for its own marketing purposes unless the attendee has separately and expressly opted in to receive communications directly from Spotlight Xperience.

9. AI Experiences & Digital Content

Many Spotlight Xperience experiences generate AI-created or digitally enhanced content, including:

• Headshots

• Trading Cards

• Sketches

• Portraits

• Photographs

• Digital downloads

Results generated by artificial intelligence may vary based on source images, prompts, lighting, participant positioning, and other technical factors.

Unless otherwise stated in a written agreement, Spotlight Xperience retains ownership of its proprietary software, workflows, templates, prompts, and production processes.

10. Photography & Marketing

Unless otherwise agreed in writing with our client, Spotlight Xperience may photograph or record its equipment, displays, and event activations for promotional purposes.

If a client requests that no event photography or promotional use occur, the request must be submitted in writing prior to the event.

Spotlight Xperience will not knowingly identify individual participants by name without appropriate permission unless authorized by the client or required by law.

11. SMS Communications

By voluntarily providing your mobile phone number, you consent to receive SMS communications from Spotlight Xperience regarding:

• Appointment reminders

• Proposal follow-ups

• Event updates

• Customer support

• AI image delivery

• Promotional offers (where you have opted in)
